A run-of-show gives an event team one shared timing reference. It should show who acts, what they need and what happens if a step runs late.
Use five columns
Record time, activity, owner, cue or dependency, and fallback. Include arrival, setup, doors, programme segments, breaks, teardown and handover. Put contact details in a separate private sheet rather than in a public copy.
Build in decisions
Mark the moments that require a go/no-go decision: weather, speaker arrival, technical checks or capacity. Name the person who decides and the latest safe decision time.
Print a short version for the floor team and keep the full version in the shared workspace. During the event, record actual times and changes. Afterward, keep the notes for the next planning cycle.
